Q. Can you work with my software?

A. We work in an open environment and can read and reformat from most core systems. The vast majority of software platforms supporting credit unions create monthly statements in a print image format. We have expertise in dealing with these as well as other types of files.

Q. Will I need to purchase additional software to utilize your service?
A.
No investment in additional software will be necessary. We custom program off the files generated from your current core software. We can add special features to this file such as messaging, font changes and other enhancements designed to promote your products and services and make your statements more useful to your members.

Q. How do I get my file to you?
A.
Your file is uploaded to our password protected FTP site via the Internet. We will provide a private folder for your use only. This service is a very secure and fast way to transfer data and there are no fees associated with the transfer.

Q. How safe is my data traveling on the Internet?
A.
While files transferred are very safe, we also recommend that you encrypt your data before sending. We utilize several security software packages and utilize Public Key's for PGP software, a commonly recognized package. We will work with you to utilize your existing encryption software or recommend another.

Q. What steps are taken to ensure accuracy?
A.
Upon receipt of your file, we process it through software written specifically for your statements. We will email you record counts, page counts and envelope counts to confirm that we have received the correct file and that the transmission was complete. This creates an Audit Control Report that we utilize at every step of the production cycle to ensure that our process is accurate and complete. Our goal is to provide you with the best service possible and we have taken the necessary steps to provide high quality service to our valued clients.

Q. What are you providing as a service?
A.
We provide custom laser sheets, envelopes, collateral inserts, inventory management as well as postal sorting, imaging and mail insertion. Once your file is sent to us, we will take over and function as your back room office to provide accurate and timely mailing of your statements.

Q. What postage savings can I expect?
A.
We pass through all discounts on postage to our clients. We will mail at the lowest possible first class rate allowed by the US Post Office. We utilize CASS software to presort your records, which places a Postnet barcode in the address area. This moves your statements through the postal system faster and at discounted rates. For one ounce and below, most Credit Unions will mail at an average of 35 cents, a savings of $50 per thousand pieces mailed. Of course, if your file qualifies for a better discount, that savings will be passed along to you.

Q. How long from when I send the file to when it drops in the mail?
A.
Our standard turnaround time from file receipt to postal drop is 1 to 3 business days. If your requirements are different, please let us know.

Q. Can you put inserts into our statements?
A.
Yes. These inserts can be printed in our facility or you may send them to us. We have the ability to place up to 5 inserts into all statements or, based on specific criteria that you determine, insert different brochures, inserts or newsletters into select members' statements.

Q. Can you put messages on the statements directly?

A. Yes. We have the flexibility to enhance your member communication with either static or selective messaging directly on the members' statements. This allows you to be specific in marketing or communicating efforts to the members which the particular message pertains.

Q. Can you use different fonts?
A.
Yes. We can take the font that is supplied by your system and change it to a more pleasing font. You have a choice of fixed width fonts for the transaction areas (dollars and cents line up) to a full range of graphic fonts for message areas.

Q. Can you image on both sides?
A.
Yes. We have the ability to image on both sides and often provide page one as a single sided image with Reconciliation Backer and then duplex image the remaining pages. This saves on the number of printed sheets that are used and can reduce your postage cost substantially on multi-page statements.

Q. How long are your Statement Processing contracts?
A. Unlike many other companies, we do not require that our clients commit to a contract.  Your relationship with us is based wholly on your satisfaction with the service we provide.
